Administrative Assistant

Position Overview

We are seeking a highly organized and proactive Administrative Assistant. This role is ideal for someone who thrives in a fast-paced environment and is committed to supporting work that impacts underserved communities. The ideal candidate will be skilled in G Suite, capable of managing multiple priorities, and comfortable drafting professional communications.

Key Responsibilities:

  • Track progress on delegated projects, assignments, and deadlines from direct reports or partners.
  • Track document submission deadlines and archive completed items to support timely reporting and compliance.
  • Maintain a master task tracker or project dashboard.
  • Manage the Senior Director’s calendar, including scheduling internal and external meetings, coordinating travel, and ensuring preparedness for appointments.
  • Maintain and organize digital files for grants, contracts, reports, and program materials, ensuring version control and accessibility via Google Drive.
  • Take detailed meeting notes and support follow-up actions.
  • Support inventory audits and assist in tagging or tracking agency assets.
  • Prepare summaries of team progress or outstanding issues for weekly leadership updates
  • Handle sensitive and confidential information with discretion.

Qualifications:

  • Proven experience in an administrative role.
  • Strong proficiency in G Suite (Google Docs, Sheets, Calendar, Drive, etc.).
  • Excellent written and verbal communication skills with a professional tone.
  • Highly organized with the ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and problem-solving skills.
  • Self-starter with the ability to anticipate needs and work independently.
  • Experience in a nonprofit, housing, or human services setting preferred.
