Payroll Assistant
Position Summary
The Payroll Assistant supports the accurate and timely processing of semi-monthly payroll across four companies using the Rippling payroll system. This position serves as a backup to the Payroll Administrator and assists with payroll processing, payroll accounting entries, and related administrative and compliance duties. This is a non-exempt position eligible for overtime in accordance with FLSA guidelines.
Essential Duties and Responsibilities
Assist with processing semi-monthly payroll for multiple companies using Rippling, ensuring accuracy and compliance.
Serve as backup to the Payroll Administrator during payroll processing and reporting cycles.
Assist with reviewing payroll data, including hours, deductions, benefits, and garnishments.
Prepare and assist with booking payroll entries into the accounting software and support payroll reconciliations.
Process garnishment paperwork, including responding to agencies, notifying employees, and entering garnishments into Rippling.
Reconcile and assist with payment of insurance and benefit invoices.
Send required 401(k) notices and assist with retirement plan administration tasks.
Assist with I-9 verification and maintenance of employee payroll and personnel records.
Provide clerical and administrative support related to payroll, benefits, and compliance.
Respond to routine payroll-related inquiries and support special projects as assigned.
Qualifications
Required
1–3 years of payroll, accounting, or HR administrative experience.
Experience with payroll systems; Rippling experience preferred.
Strong attention to detail and accuracy.
Ability to handle confidential information with discretion.
Proficiency with Microsoft Excel and payroll or accounting software.
Preferred
Experience supporting payroll for multiple entities or 300+ employees.
Basic understanding of payroll accounting and reconciliations.
Familiarity with benefits administration and garnishment processing.
